Appointment of a supervisor

Pursuant to § 16 of the doctoral shooyl regulations, within 45 days of commencing their studies, doctoral students shall submit, through the Director, an application to the Doctoral School Program Council for the appointment of a supervisor, supervisors, or a supervisor and an assistant supervisor, under whose guidance they will carry out their individual research plan and prepare their doctoral dissertation.

The application should include: the doctoral student’s details: first name, last name, PESEL number, and in the absence thereof, the number of the identity document, as well as a proposal for a supervisor, supervisors, or a supervisor and an assistant supervisor, indicating the discipline in which the doctoral dissertation is to be prepared. The application must be accompanied by the written consent of the supervisor/assistant supervisor.

In justified cases, a doctoral student may apply to the Doctoral School Program Council, through the Director, for a change of supervisor, supervisors, or assistant supervisor. The application should include the doctoral student’s details: first name, last name, PESEL number, or, if unavailable, the number of the identity document; a proposal for a new supervisor, supervisors, or assistant supervisor, indicating the discipline in which the doctoral dissertation is to be prepared; the consent of the proposed person(s) to take on the role of supervisor or assistant supervisor; justification; correction of the individual research plan, if necessary, approved by the proposed supervisor, supervisors, or assistant supervisor; opinion of the current supervisor, supervisors, or supervisor and assistant supervisor, specifying the progress of the doctoral dissertation as of the date of submission of the application, unless there are circumstances preventing the issuance of an opinion.

Half-yearly report

No later than 7 days before the end of the semester, doctoral students are required to submit to the Director a report on the progress of their individual research plan, reviewed by their supervisor, supervisors, or supervisor and assistant supervisor.

In justified cases, the Director may, upon written request from the doctoral student, extend the deadline for submitting the semester report.

Semester credits are awarded on the basis of data from the USOS system and the report submitted on time.

Individual research plan

The doctoral student, in consultation with the supervisor, supervisors, or supervisor and assistant supervisor, develops an individual research plan, following
the guidelines referred to in paragraph 1, containing in particular:

the topic and objectives of the research project;
the name and surname, academic degree or title of the supervisor and the scope of their tasks, or the names and surnames, academic degrees or titles of the supervisors together with the scope of their tasks, or the name and surname, academic degree or title of the supervisor and the name and surname, academic degree of the assistant supervisor together with the scope of their tasks;
the schedule for the preparation of the doctoral dissertation;
plans for publications,
other scientific activities planned for each year of study
the date of submission of the doctoral dissertation.
The doctoral student shall submit to the Director an individual research plan approved in writing by the supervisor, supervisors, or supervisor and assistant supervisor within 12 months from the date of commencement of study.

Mid-term evaluation

The mid-term evaluation, carried out pursuant to Article 202 of the Law on Higher Education and Science, serves to raise the standards of doctoral education through systematic verification of research progress. Its primary objective is to assess the implementation of the individual research plan at the midpoint of the training period and to confirm that the pace of work will ensure the timely preparation of the doctoral dissertation.

This process is carried out by a three-member expert committee, which must include a habilitated doctor or professor representing the given scientific discipline, employed in an entity external to the doctoral school. The regulations explicitly exclude the supervisor and assistant supervisor from participating in the work of the committee, thus guaranteeing the impartiality of the procedure.

The committee’s resolution, together with a substantive justification, is made public regardless of its outcome, thus ensuring the highest level of transparency and reliability of the assessment. This mechanism strengthens the quality control of the education process and is an important element of the modernization of Polish higher education.

Mid-term assessment schedule 2025

Doctoral students submit their mid-term evaluation forms (in paper and electronic form) to the Doctoral School secretariat no later than 30 days before the date of the mid-term evaluation committee meeting.
Submission of a set of documents concerning the mid-term evaluation of the doctoral students being evaluated (in electronic form) to the members of the respective mid-term evaluation committees no later than 14 days before the date of the mid-term evaluation committee meeting
Conducting the mid-term evaluation (committee meeting, doctoral student presentation, interview with the doctoral student) June 23, 2025 – July 4, 2025
Making the results of the mid-term evaluation available on an ongoing basis; no later than July 31, 2025
